Cancellations Policy

(Applicable to Innovation Hub Pass Holders, Day Pass Bookings & Subscribers)

1. Free Events 

Attendance at Future HealthSpaces events (including forums, roundtables, and workshops) is free of charge. However, advance booking is required, and spaces may be limited. If you are unable to attend, please notify the organisers as soon as possible to allow your space to be reallocated. 

 

2. Day Passes & Space Bookings 

Cancellations for Day Pass bookings must be submitted in writing via email to [events@futurehealthspaces.com] at least 72 hours before your booking to receive a 50% refund. 


No refunds will be provided for cancellations made less than 72 hours before the booking or for non-attendance.

Transfers: 

If you can no longer attend, there is scope to transfer your Day Pass booking to a colleague from your organisation. This is, however, subject to written notification. If you have booked a pass on an annual pass holding basis, your reservation may only be taken by another annual passholder within your organisation.

 

3. Subscriber Bookings & No-Shows 

Subscribers or passholders (Access, Network, & Insider pass holders) may make bookings as part of their membership benefits. However, we ask all subscribers and passholders to be mindful of excessive or last-minute cancellations, particularly for bookings requiring significant preparation or resource allocation.

If a subscriber cancels within 24 hours of their booking or fails to attend without prior notice, we reserve the right to apply a no-show charge of: 

  • £40 for Access Pass Holders 

  • £75 for Network and Insider Pass Holders 

​

Where catering, AV, or other chargeable services have been arranged for a booking, the party who cancels within 48 hours or fails to attend will remain fully liable for 100% of these costs, and an invoice will be issued accordingly.

Repeated last-minute cancellations or no-shows may lead to temporary suspension of booking privileges. 

 

4. Organiser Cancellations 

In the unlikely event that Future HealthSpaces must cancel a booking due to unforeseen circumstances, we will offer: 

  • A full refund for Pass holders (or reschedule, if preferred) 

  • No charge or penalty for subscribers 

We accept no liability for any additional costs incurred (such as travel or accommodation). 

 

5. Additional Notes 

Catering requests may be subject to separate cancellation terms, which will be advised at time of booking.

All refunds will be processed back to the original payment method within 10 working days.
